Position Overview
The Project Coordinator Specialist plays a critical role in keeping construction projects aligned, organized, and moving forward. This position supports Project Managers and field teams by coordinating resources, maintaining accurate documentation, and ensuring communication flows smoothly across all stakeholders.
This is an active, hands-on operations role—not a passive administrative position. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment with multiple moving parts.
Key Responsibilities
Required
- Coordinate labor, materials, tools, and equipment to support on-time project execution
- Track project progress, documentation, schedules, and timelines with a high level of accuracy
- Act as a central communication point between field teams, vendors, and internal staff
- Support Project Managers with scheduling, reporting, and job tracking activities
- Maintain accurate and up-to-date project paperwork, work orders, and records
- Identify potential gaps, risks, or delays early and take proactive steps to keep projects on track
Qualifications
Required
- Experience in project coordination, operations support, or administrative support roles
- Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously
- Detail-oriented mindset with strong follow-through and accountability
- Confident verbal and written communication skills
- Proficiency in Microsoft Office, including Excel, Outlook, and Word
- Ability to interpret basic project documents, schedules, and work orders
- Self-starter capable of working independently while supporting a collaborative team environment
- Comfort working in a fast-paced setting with frequent changes and competing priorities
- Reliable, adaptable, and accountable work style
Preferred
- Background in construction, HVAC, plumbing, or skilled trades environments
