About the Role
An established mechanical services provider is seeking a highly organized and proactive Service Dispatcher to coordinate HVAC service operations from its Somerset, NJ office. This role is essential to ensuring efficient scheduling, timely communication with field technicians and clients, and seamless execution of service calls. The ideal candidate thrives in a fast-paced environment and brings a customer-first mindset to every interaction.

Key Responsibilities

  • Schedule and dispatch 10–25 daily service calls to HVAC technicians based on priority, geography, and skillset
  • Serve as the primary communication hub between customers, technicians, and internal teams
  • Monitor service progress and adjust schedules in real time to meet SLAs and client expectations 
  • Maintain accurate records in dispatching software, CRM, and work order systems
  • Provide timely updates to clients regarding service status, delays, and completion 
  • Coordinate emergency service calls and after-hours dispatch as needed
  • Assist with billing support, including verifying labor hours, materials, and job completion details 
  • Identify opportunities to improve dispatch efficiency and customer satisfaction 
  • Collaborate with service managers and account teams to optimize workflow and resource allocation 

Qualifications

  • Dispatching or scheduling experience in HVAC, construction, field service, or a related industry
  • Strong organizational and multitasking skills with the ability to manage high call volumes
  • Excellent verbal and written communication skills
  • Proficiency with dispatching software, Microsoft Office (Outlook, Excel), and CRM systems
  • Ability to problem-solve under pressure and make real-time decisions
  • Customer service-oriented mindset with a professional demeanor

Preferred:

  • Previous experience in commercial HVAC or mechanical services
  • Familiarity with service platforms such as ServiceTitan, FieldEdge, or similar
  • Knowledge of geographic routing and technician utilization strategies
  • Experience supporting billing, invoicing, or service agreements
