Position Overview
A growing energy optimization and smart infrastructure organization is seeking a highly organized and detail-driven Building Automation Service/Project Coordinator to support service operations and project execution across New York City. This role is critical in ensuring that building automation system (BAS) service work and projects are delivered efficiently, on time, and with a high level of quality.
The ideal candidate will act as the central point of coordination between field technicians, engineers, project managers, and clients—ensuring seamless communication, accurate scheduling, and strong operational execution in a fast-paced, technology-focused environment.
Key Responsibilities
- Coordinate daily service operations, including scheduling field technicians and managing service requests and dispatching
- Support project managers with planning, execution, tracking, and closeout of building automation and energy projects
- Monitor project timelines, deliverables, budgets, and documentation to ensure successful completion
- Serve as a primary point of contact for clients, providing updates, resolving service issues, and maintaining strong relationships
- Maintain accurate and up-to-date records including contracts, service reports, change orders, and compliance documentation
- Collaborate with engineering and field teams to support system integration, commissioning, and troubleshooting efforts
- Track and report on key performance indicators such as response time, project completion rates, and service quality
- Assist with procurement coordination, vendor communication, and inventory tracking
- Support continuous improvement of processes and workflows to enhance efficiency and service delivery
Required Qualifications
- Experience in project coordination, service coordination, or operations within building automation, HVAC controls, or energy systems
- Working knowledge of building automation systems (BAS), controls, or smart building technologies
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Proficiency in Microsoft Office (Excel, Outlook, Teams) and project tracking tools
- Excellent verbal and written communication skills
- High attention to detail and commitment to accuracy
- Ability to collaborate effectively with cross-functional teams
Preferred Qualifications
- Experience with BAS platforms such as Niagara, Tridium, Johnson Controls, Siemens, or Schneider Electric
- Familiarity with energy optimization, sustainability, or microgrid-related initiatives
- Previous experience in a service-based or construction/project-driven environment
- Associate’s or Bachelor’s degree in Engineering, Construction Management, Business, or related field
- Knowledge of New York City building codes, compliance requirements, or local regulations
- Experience supporting large commercial, healthcare, or government projects
