Job Title: Mechanical Project Coordinator

Position Overview:

We are seeking a highly organized and proactive Project Coordinator to oversee pre-construction planning, design coordination, fabrication logistics, and construction support for mechanical system installations. This individual will be responsible for ensuring smooth collaboration between internal teams, subcontractors, and fabrication shops while driving key project deliverables on time and within scope.

Ideal candidates will have experience in MEP coordination, BIM processes, and design-build projects, with a strong understanding of fabrication workflows and field construction needs.

Key Responsibilities:

Pre-Construction & Project Kickoff:

  • Review and digest awarded project documents, schedules, and scopes.

  • Identify project delivery methods (e.g., design-build, design-assist) and tailor processes accordingly.

  • Schedule and lead internal project kickoff meetings and ensure team onboarding.

  • Obtain and manage architectural, structural, and MEP models.

Coordination & Design Integration:

  • Lead weekly coordination meetings with internal teams and external stakeholders.

  • Define scopes of work and hold subcontractor scope review meetings.

  • Maintain project coordination schedules and integrate them into the master schedule.

  • Collaborate with the Data/Technology Manager to manage shared file platforms and BIM model access.

  • Conduct and review clash detections and implement issue resolution strategies.

  • Track and maintain pipe spec sheets and submittal logs with procurement support.

Fabrication Planning & Oversight:

  • Develop and gain approval for fabrication plans based on key project layouts.

  • Maintain consistency in naming conventions and formatting across all fab schedules.

  • Lead the spooling, approval, and tracking process for fabrication work orders (WOs).

  • Document and update fabrication progress using a tracking sheet or software tools.

Construction Support:

  • Serve as the liaison between fabrication shops and field teams.

  • Review field drawing submissions and ensure they meet fab shop criteria.

  • Assign, track, and monitor WOs to ensure on-time delivery to the field.

  • Conduct regular job site walks to assess progress and recommend schedule adjustments.

  • Modify fabrication schedules based on field conditions and assist in developing recovery plans.

General Duties:

  • Keep detailed weekly progress notes and distribute updates to project leadership.

  • Communicate proactively via phone, email, and meetings.

  • Demonstrate ownership of project outcomes, solving challenges creatively and efficiently.

  • Perform all other duties as assigned by project leadership.

Qualifications and Experience:

  • 5+ years of experience in construction project coordination, with preference for MEP, fabrication, or mechanical system backgrounds.

  • Strong knowledge of design-build and design-assist project processes.

  • Experience using Revit and familiarity with BIM/VDC workflows (highly preferred).

  • Proven track record managing multi-trade coordination and clash detection.

  • Working knowledge of fabrication, field installation, and construction schedules.

  • Proficiency in basic computer applications (MS Office, file-sharing platforms, project tracking tools).

  • Excellent communication skills—both verbal and written.

  • Collaborative team player with leadership capabilities.

  • Ability to adapt to changing field conditions and construction timelines.

Education:

  • High School Diploma or GED (required)

  • Trade school or vocational training in construction management, HVAC, plumbing, or related field (preferred)

Special Requirements:

  • OSHA 10 Certification
