Job Overview:

We are hiring a reliable and experienced HVAC Service Coordinator / Dispatcher to join our growing team. In this customer-facing role, you will coordinate daily HVAC service operations, schedule and dispatch field technicians, and provide outstanding customer support. Your work will ensure our HVAC service calls are handled efficiently, professionally, and on time.

Key Responsibilities:

  • Dispatch HVAC Technicians: Assign service technicians based on location, skillset, and availability to meet customer needs.

  • Schedule HVAC Service Appointments: Coordinate same-day, next-day, and preventative maintenance calls using HVAC dispatch software.

  • Customer Communication: Handle inbound service calls and emails, confirm appointments, and provide status updates to clients.

  • Service Coordination: Monitor job progress and technician schedules, ensuring timely service delivery and job completion.

  • Job Tracking: Input and update service call details using dispatch and scheduling software (e.g., ServiceTitan, FieldEdge).

  • Administrative Support: Assist with service invoicing, work order processing, and technician time tracking.

  • Parts & Inventory Coordination: Help order and track HVAC parts and materials needed for service calls.

  • Customer Satisfaction: Resolve customer complaints or scheduling conflicts quickly and professionally.

Required Skills and Qualifications:

  • 2+ years experience in HVAC dispatching, service coordination, or field service operations

  • Strong working knowledge of HVAC industry terminology and processes

  • Proficiency in dispatch or scheduling software (e.g., ServiceTitan, FieldEdge, Housecall Pro)

  • Excellent communication, time management, and multitasking skills

  • High school diploma or equivalent required; associate’s degree or HVAC certification a plus

  • Ability to work in a fast-paced, team-oriented environment

  • Customer-first attitude with a commitment to service excellence
